The Complete Guide to Booking Your Wedding Florist
What to Expect When Booking Debbie's Bloomers for Your Wedding
Planning a wedding involves coordinating with numerous vendors, and your florist plays a central role in transforming your venue and bringing your vision to life. If you're wondering what the booking process looks like—or when you should start—this guide walks you through exactly what to expect when you work with us.
When Should You Book Your Wedding Florist?
We recommend reaching out to your wedding florist 8-12 months before your wedding date, especially if you're getting married during peak season (spring and fall in El Paso). That said, we've created stunning designs on shorter timelines when our schedule allows, so don't hesitate to reach out even if your wedding is just a few months away.
Step 1: Initial Inquiry & Availability Check
Your journey with us begins when you complete our contact form or reach out via email. We'll review your wedding date to confirm we're available and send you a welcome email with next steps. This is important because we want to make sure we can give your wedding the attention it deserves before you invest time in planning with us.
What we'll ask about:
Your wedding date and venue
Estimated guest count
General budget range
Your design style and vision
Step 2: Schedule Your Free Consultation
Once we confirm availability, we'll send you a link to schedule your complimentary consultation. You can choose to meet with us in person at our El Paso studio or via Zoom if you're planning from out of town (which many of our planner-referred clients do).
Before your consultation, we ask that you:
Gather 5-10 inspiration photos that capture your style
Think about your must-have elements
Have a general budget range in mind
Know your venue and approximate guest count
In the near future, we'll be incorporating HoneyBook, which will give you a client dashboard where you can upload all your inspiration photos and details in one organized place.
Step 3: Your Design Consultation
This is where the magic starts. During your consultation (typically 45-60 minutes), we'll:
Review your inspiration photos and identify common style threads
Discuss your color palette and design preferences
Talk through the quantities you'll need (bridal bouquet, bridesmaid bouquets, boutonnieres, centerpieces, ceremony flowers, etc.)
Explore ways to maximize your budget while achieving your vision
Answer all your questions about the process, timeline, and our services
We approach this conversation as a collaboration. Our goal is to understand not just what you want your wedding to look like, but what you want it to feel like.
For Planner-Referred Clients: If you're working with a wedding planner, they'll typically send us your event details, and we'll create your proposal based on that information. We'll then collaborate with both you and your planner to refine the design.
Step 4: Receive Your Custom Proposal
After your consultation, we'll create a detailed proposal that outlines:
Each floral design element (with descriptions)
Quantities for each item
Any rental items (linens, vessels, containers—available exclusively to full-service clients)
Delivery, setup, and breakdown services
Complete pricing breakdown
This typically takes us about one week, though timelines can vary based on our current workload.
Step 5: Review & Revise
Your proposal isn't set in stone. We encourage you to review it carefully and request any changes. Maybe you want to adjust quantities, swap out certain flowers, or modify the design. We'll work with you until the proposal perfectly reflects your vision and budget.
Step 6: Secure Your Date
When you're ready to move forward, you'll place your first payment to officially book your wedding date with us. This secures our commitment to your celebration—we won't book another wedding on your date once you've placed your deposit.
Step 7: Flexible Payment Schedule
We understand that wedding expenses add up, so we split your payments into 2-3 installments depending on your timeline. This makes budgeting easier and more manageable.
Final payment is due after you've finalized:
Your guest count
Table quantities
Any last-minute additions or changes
Step 8: Final Details & Preparation
In the weeks leading up to your wedding, we'll:
Confirm all final quantities and details
Coordinate delivery and setup times with your venue
Communicate with your planner (if you have one)
Source the freshest, most beautiful flowers for your celebration
Step 9: Wedding Day Setup
On your wedding day, our team handles:
Delivery of all floral arrangements and rentals
Complete setup of ceremony and reception florals
Placement of all arrangements according to your floor plan
Any last-minute adjustments
Whether we're placing centerpieces or straightening linens, we work alongside your other vendors to ensure every detail is perfect.
Step 10: Post-Event Breakdown
After your celebration, we return to break down and pick up our rental items, leaving your venue exactly as we found it.
What Makes Our Process Different
Over 40 years in business, we've refined our booking process to be both thorough and personal. We're AIFD, CFD, and TMF certified designers, which means you're working with recognized experts in floral design. But more importantly, we bring warmth, creativity, and genuine care to every wedding we design.
Our relationships with couples, planners, and fellow vendors are at the heart of what we do. We believe your wedding day is a team effort, and we're honored to be part of yours.
